Respite care provides temporary support while a usual caregiver takes time away. Planning the handoff in advance helps everyone understand the schedule and responsibilities. The goal is an arrangement that respects the person receiving care and gives the regular caregiver a clear break.

Define the time and tasks

Start with the dates and hours you need covered. Describe the actual tasks that must happen during that period and distinguish everyday assistance from clinical care. A short visit, an afternoon and an overnight arrangement can involve very different responsibilities.

The National Institute on Aging identifies respite services as a source of short-term support when the regular caregiver is unavailable. Availability and the services offered need to be checked locally.

Ask about the provider’s scope

  • Can you cover the requested dates and hours?
  • Which duties are included, and which are excluded?
  • Who will attend, and how are their qualifications checked?
  • What happens if that person becomes unavailable?
  • What information is needed before care begins?
  • What are the charges, minimum booking and cancellation terms?

Explain any clinical requirements to the appropriate professional. Do not assume a general respite service can carry out nursing tasks or replace the person’s existing care team.

Create a concise handoff note

Include the agreed schedule, preferred name, communication preferences, important routines and the contact responsible for administrative questions. Keep clinical instructions in the form provided by the care team rather than rewriting them from memory.

Share information through the provider’s intake process and only with people authorized to receive it. Do not put medical records, door codes or personal identification documents in a public listing.

Introduce the arrangement

Where practical, arrange an introduction before the regular caregiver leaves. Let the person receiving support explain their preferences. Identify where necessary documents are kept and confirm how the replacement caregiver will report that the visit has started and ended.

Agree on which updates are routine and which situations require immediate contact. Ask the provider how it handles urgent concerns; this should not depend on the regular caregiver checking casual messages continuously.

Review the experience

Afterward, ask what worked for the person receiving care and what should change next time. Record useful scheduling details so the next break requires less preparation. If the arrangement did not meet the agreed needs, discuss the specific gaps before booking again.
